- keep records of scrolls turned in
- attend meetings as scheduled for the COS officers
- Attend meetings of the College and record the reports and comments.
- Keep a copy of the minutes and post same to the COS's e-list on Yahoo.
- Keep a record of all scrolls turned in. The artwork (line drawing), painting
(illumination), and calligraphy are considered separately, and may be done by one person or three on any individual scroll. These records keep track of how many scrolls an individual scribe has created, so that the supplies provided by the Kingdom can be equitably distributed. It also keeps track of the points accumulated by each participant in any of the scribal contests as devised by the COS Deans.
- 1- the scribe may turn in scrolls directly to the Secretary, and give the
Secretary a copy of the Reporting Form (also found online under the Yahoo group's files section). If there is contest in progress, and that contest has a particular theme, the scribe must also note how many of the scrolls are in keeping with the theme. If no Reporting Form is available, the Secretary will record the name of the scribe and the number of scrolls handed in, along with a notation of what aspect of the scrolls were done by whom. If there is contest in progress, and that contest has a particular theme, the Secretary will also note how many of the scrolls are in keeping with the theme. The Secretary will make a notation on the back of each scroll (date, initials, or a number) to show that it has been counted/recorded, and then hand over all scrolls to the Chart Signet.
- 2- the scribe may turn in the scrolls to the Chart Signet or other officer, in
person or by mail, and give the Secretary a copy of the Reporting Form (also found online under the Yahoo group's files section) at the next COS meeting. If there is contest in progress, and that contest has a particular theme, the scribe must also note how many of the scrolls are in keeping with the theme. Note: some scribes turn in scrolls directly to the Crown. The scribe is responsible for turning in a Reporting Form if they want any credit for the scrolls.
- 3- the scribe may turn in the scrolls to the Chart Signet or other officer, in
person or by mail, and send a copy of the Reporting Form to the Secretary by email. If there is contest in progress, and that contest has a particular theme, the scribe must also note how many of the scrolls are in keeping with the theme.
- If more than one scribe has contributed to a particular scroll, there must be
a separate form returned for each person. If there is a contest in progress, and the contest has a particular theme, the scribe must note how many of the scrolls are within that theme. This is especially important if the scribe is turning in a mixed batch of scrolls, with some of them themed and some not.
